Categories are the foundation of your digital asset management system - get them right and you will have the foundation to grow and manage your DAM for years to come.
Admins, Library Admins, and custom user groups with "Create Categories and Delete Categories" permissions may create and delete categories using the instructions below.
- Categories are a way to group your assets into subjects for your users to navigate through
- They are similar to computer folders with the difference that one asset can be present in multiple categories without creating duplicates
- Your taxonomy is hierarchically grouped into main categories (parent categories) and sub-categories (child categories)
- We recommend creating no more than 5 sub-cateogories
1.Creating a Category
Note: We highly recommend against using special characters in the catgory names like /=*& and only using letters and numbers
There are two ways to create a new category:
1. Hover over the category where you would like to create a new subcategory. In the example below a user is going to create a top level category under the Library
2. Give your category a name and click Add.
You can at this point notify a user group of this new category and include a message like "Hi Communications team, I have made a new category for you to start uploaing assets to."
Alternatively: Select the Settings menu on the left hand side. Once there, select the Categories menu
Choose the parent category that you would like to add a sub-category to and under Actions select Add. Give your category a name and click Save.
2.Renaming a Category
Note: We recommend against using special characters in your category names, only letters and numbers.
Under the Category Settings, select the category you want to rename and click on View/Edit.
Under "New Category Name", rename the Category and hit save.
3.Moving a Category
Under the Category Settings, select the category you want to move and click on View/Edit.
Select the Category you want to move your category under and click Save.
For example, currently my ARCHIVE Category is under my main root category called MediaValet:
I want to move ARCHIVE under the folder "MediaValet 2".
I will select MediaValet 2 and the legend indicates that the new parent for my ARCHIVE category is MediaValet 2. I click Save, et voilà !
Note: If you are trying to move a significant amount of categories at once and notice any errors, we recommend to reach out to the Technical Support Team support@mediavalet.com. MediaValet has some limits on the amount of category moves clients can take to ensure there's no loss of performance for your users. Our support team will be happy to help assist you in your category move.
4.Deleting a Category ***Warning***
WARNING: Deleting categories is IRREVERSABLE. If you are unsure of the impact, please reconsider deleting folders or contact your Client Success Manager.
WARNING: Deleting a Parent Category also deletes all its subcategories and will move uncategorized assets to the root category. Deleting a categoty DOES NOT DELETE THE ASSETS.
Example, If I delete the "MediaValet 2" Category, I'm also deleting all its sub-categories and their sub-categories such as Design WIP and Q1, Q2 or the Lifestyle and Marketing folders with all their collapsed folders underneath.
If you have any doubts, pause the deletion and reach out to your CSM or the Technical Support Team.
To delete a category, select the category on the left-hand side and click delete on the right hand-side. You are then brought to a warning pop up informing you of the number of 'children' or subcategories that are going to be deleted. You must then check the two boxes that explain what happens when you delete a category. Finally you are required to type the name of the category you want to delete.
