MediaValet lets you update an asset with a new version, make a previous version current again, or download a previous version without changing the current one. You manage versions from the Versions tab in the asset details.

What do you need before you manage asset versions in MediaValet?

MediaValet asset versioning depends on your permissions:

  • To see the Versions tab, you need access to asset versions (the view asset versions permission).
  • To update an asset with a new version, you need the Edit Assets permission. The Contributor, Library Admin, and Admin roles include it.
  • To make a previous version current, you need the Edit Metadata permission. The Contributor, Approver, Library Admin, and Admin roles include it.
  • To download a previous version, you need access to asset versions and permission to download the asset.

How do I update an asset with a new version in MediaValet?

Step 1: Open the Asset to Be Versioned

Open your MediaValet library and navigate to the asset you want to update. Select the asset to open its details. You will be updating this asset with a new version.

Go to the Versions tab on the asset details page.

Step 2: Access and Configure the Asset Panel Tabs

You can customize the order of the tabs so the ones you use most frequently appear at the top.

Click the gear icon to configure the tabs, then drag the Versions tab closer to the top to make it easier to access.

You can also hide any tabs you do not use.

Choose which tabs should be visible and hide those that are not needed at all.

Step 3: Upload a New Version of the Asset

On the Versions tab, use the option to update the asset.

Click Update Asset, then upload a new file to replace the current version.

Browse for the new file or drag and drop it into the Update Asset window. MediaValet shows a preview of the file you select, and you can replace it with another file before you continue. Add a comment if you want to.

You can also update the asset title to match the new file. Enable the title option to update the asset title automatically with that of the newly uploaded version, or leave it unchecked to keep the existing title. When you are ready, click Update.

Step 4: Verify the New Version and Review Metadata

Once the upload completes, confirm that the new version of the asset is now active.

The metadata for the image is carried over from the previous version. Review and edit metadata if necessary to ensure it accurately reflects the new version.

Existing categories remain associated with the asset, so the asset still appears in the same category structure.

Refresh the page to verify that the new version is displayed as the current asset.

How do I make a previous version current or download it in MediaValet?

MediaValet keeps the previous versions of an asset, so you do not lose them when you update. You can make a previous version current again, or download it and leave the current version in place.

Make a previous version the current version

  1. Open the asset details and select the Versions tab. MediaValet lists the latest version first.
  2. Select the options menu (⋮) next to the previous version you want.
  3. Select Make Current Version.
  4. Refresh the page to view the restored version.

Note: You need the Edit Metadata permission to make a previous version current.

Download a previous version

  1. Open the asset details and select the Versions tab.
  2. Select the options menu (⋮) next to the previous version you want.
  3. Select Download.

Note: Downloading a previous version does not change the asset. The current version stays active, and the asset’s portals and CDN links are not affected.

If Download is disabled, your category level permissions or your user group restrictions do not allow you to download this asset. Contact your administrator if you need access.
