Overview
When you insert a MediaValet image into a PowerPoint slide that uses placeholders, the result depends on the type of placeholder and whether you are in PowerPoint desktop or PowerPoint on the web. This article explains what to expect so your slide layouts stay intact and you know when an image may be cropped.
If you are inserting into Word or Excel, or into a blank part of a PowerPoint slide, placeholder behavior does not apply and you can ignore this article.
What is a placeholder?
Placeholders are the pre-defined content boxes built into a slide layout or template, the boxes that prompt you to "click to add text" or "click to add picture." PowerPoint has three placeholder types that can hold an image, and each one treats an inserted image differently:

Tip: Images inserted into a Picture placeholder may be cropped to fit the placeholder's dimensions. If you want the full image without cropping, insert into a Content placeholder or onto a blank area of the slide, or reposition and resize the image after inserting.
PowerPoint desktop
Requires Microsoft 365 desktop (Windows or Mac), updated to version 2025 or later.
On desktop, images land in placeholders the way PowerPoint does natively:
- A Picture placeholder is selected when you insert: the image goes into that placeholder and is cropped to fill it.
- A Content placeholder is selected when you insert: the image goes into that placeholder and is not cropped.
- An Online Image placeholder is selected when you insert: the image goes into that placeholder and is not cropped.
- No placeholder is selected when you insert: the image is added to the slide as a free-floating image at its full rendition size. You can move and resize it freely.
- The slide has a placeholder, but you did not select it: the image does not automatically drop into that placeholder. It is added as a free-floating image, as in point 4.
A note for older Office licenses
If you are on an Office 2021, Office 2024, or LTSC perpetual license (rather than a Microsoft 365 subscription), placeholder insertion is not available. Images are always added as free-floating images regardless of the placeholder type. You can move and resize them after inserting.
PowerPoint on the web
PowerPoint on the web has a Microsoft platform limitation that affects how images can be placed into placeholders. This is a known Microsoft issue, not a MediaValet bug, and it is not something we can fix on our side.
The underlying limitation: on PowerPoint web, dropping an image directly into a placeholder the way desktop does can cause neighboring placeholders on the slide to disappear and the inserted image to appear very small. Microsoft has acknowledged this as a product bug and has chosen not to fix it.
How MediaValet handles it: to avoid the disappearing-placeholder behavior, the connector places the image at the position of the placeholder and sizes it to match, as a floating image. This keeps your other placeholders intact and gives you a close match to the layout. The trade-off is that the image is not crop-filled into the placeholder the way it would be on desktop. You can adjust the image after inserting if you need a different fit.
If you need true crop-to-fill placeholder behavior, use PowerPoint desktop.
