This document explains how to use the MediaValet connector within Microsoft 365 applications (PowerPoint, Word, and Excel) to browse, select, and insert approved digital assets directly into your documents, both on desktop and on the web.
Once your administrator and IT team has connected the M365 connector for you, you are able to access your assets within Microsoft's 3 top widely-used applications (PowerPoint, Word, and Excel).
Step 1: Open MediaValet from Within a Microsoft 365 Application
In PowerPoint (same experience applies to Word and Excel, on desktop and web):
- Open your document or presentation.

To launch MediaValet, you can either:
- Go to the Insert tab and select Insert Assets from MediaValet.
Or go to the Home tab, select Add-ins, and then choose MediaValet.
Once selected, the MediaValet panel will appear on the right side of your application window, acting as a mini MediaValet interface to find and use assets in your document.
Step 2: Search and Browse for Assets in the MediaValet Panel
Use the panel to locate the assets you need:
- Use the search bar to search against asset metadata stored in your DAM.
2. Optionally toggle on Smart Image Search to search visually using AI-driven image recognition.
If you know the category where your asset is stored:
- Select the categories icon
to browse through your DAM categories.
Navigate through your categories.

Drill down to a specific category to view all available images in that category.
For more advanced search options:
- Select the three lines (menu icon)
at the top left of the panel.
- Choose Advanced Search to filter using custom attributes and other filters.
- Alternatively, you can switch to view your Collections directly in the panel.
- Use whichever method—search, categories, or collections—best helps you find the right approved assets.
Step 3: Insert an Asset into Your Document
Once you’ve located the asset you want to use:
- Hover over the asset in the MediaValet panel.
- Select the Insert button to place it into your document or slide.
After insertion, you can resize, move, and format the asset using standard Microsoft 365 tools.
Permissions from MediaValet are always enforced:
- On your first use of the connector, you will be prompted to sign in to your MediaValet account.
- You will only see and be able to use assets that your user account has permission to access.
- If an asset is restricted (for example, locked or not in an approved status), it will not be available for insertion.
Only approved assets can be used through the connector.
Step 4: Insert Assets into Specific Placeholders
When working with slides or documents that contain designated image placeholders or sections:
- Click to select the specific placeholder or section where you want the image to appear.
In the MediaValet panel, choose your desired asset and insert it.
The connector will automatically insert the asset into the selected area and crop it to fit the placeholder.
