MediaValet Search Filters Explained: What Each Filter Does

Note: The filters and options available to you may vary depending on your library, your administrator's settings, and how your library is configured. For example, AI-powered filters only appear if AI features are enabled, and Custom Attributes depend on what your administrator has set up. Overview

MediaValet search filters narrow your search results by file type, orientation, status, upload date, people, colors, text, metadata, and more. This article explains what each filter does and what its options mean. For step-by-step instructions on applying filters, see How do I Use Search Filters.

You can use filters to refine a search, within categories, and in collections. Advanced Search lets you choose filters before you enter a search term.

Combining filters: You can apply several filters at once, and most filters let you select more than one option. 


Filter by file type, orientation, rating, status, and upload details

These filters narrow results by an asset's file details, rating, status, and upload history.

Filter What it filters by Options and notes
File Type The kind of file Choose from Images, Videos, Audio Files, Adobe Files, Documents, or Other. Expand each group to pick specific file types, or use Select All. You can also search for a file extension: search isn't case-sensitive, the leading dot is optional, and partial matches work (for example, "mo" finds MOV). Only file types that exist in your library are listed.
Orientation The shape of an image Landscape, Portrait, Square, or Panoramic. Select more than one to see assets that match any of them. Designed for images; results for other file types may not be reliable. Not available in Experience Portals. Orientation is calculated from the image's width and height when it's uploaded, not from embedded metadata. 
Rating Average star rating From no stars to five stars. Results match the asset's average rating exactly. For example, an asset with an average rating of 4 stars appears under the 4-star filter, but not under 3 or 5 stars. Available if your library uses ratings.
Status The asset's status Approved, Rejected, Pending, Expired, Expiry, Locked, In Review, Review Changes Requested, or Review Overdue. Many statuses let you narrow further by date or time period. Rejected assets can't be accessed through CDN links. 
Upload Date When the asset was uploaded to MediaValet Any Time, Last 24 Hours, Last 7 Days, Last 30 Days, Last 120 Days, or Past Year. Choose Custom to pick a from and to date on the calendar.
Uploaded By The user who uploaded the asset Choose Uploaded by Me to see your own uploads, or Uploaded By to search for or select another user from the list. The options you see depend on your role: for example, administrators see both, contributors see Uploaded by Me only, and members, approvers, and guests don't see this filter.

Filter by category or collection

These filters narrow results to assets in specific parts of your library.

Filter What it filters by Options and notes
Category The category an asset belongs to Available in Advanced Search. Choose Entire Library, or select one category from the category tree. You can select to include subcategories in your search as well. 
Collections The collections an asset has been added to Search for a collection by name, or select it from the alphabetical list. 

Filter by AI-detected content: colors, people, and text

These filters use information MediaValet's AI features detect in your assets. You'll only see them if AI is enabled in your library.

Filter What it filters by Options and notes
Colors Colors detected in the asset Red, Orange, Yellow, Green, Blue, Teal, Purple, Pink, Brown, Gray, Black, or White.
People in Images People identified in images through Face Recognition Search for a person's name, or select it from the alphabetical list. Works well combined with Smart Image Search, for example "people at the beach." Faces are named in the People dashboard, which is available to administrators and to users with Face Recognition enabled for their user group. 
People in Videos People identified in videos Search for a person's name, or select it from the alphabetical list. Uses people tagged through Audio/Video Intelligence (AVI). 
Text in Images and Videos Words that appear inside an image or video Type the text you're looking for in the search bar. Uses optical character recognition (OCR) to read text in images and videos. 
Document Text Text inside documents Type the text you're looking for. Supported file types: PDF, Word, PowerPoint
Transcript Spoken words in video and audio files Type the words you're looking for. Uses transcripts created by Audio/Video Intelligence (AVI), so only processed assets have transcripts.

Filter by metadata: Advanced Fields and Custom Attributes

These filters search the descriptive information attached to your assets.

Filter What it filters by Options and notes
Advanced Fields Which metadata fields your search terms are matched against Keywords, Titles or File Names, Category Names, Attributes, Descriptions, Comments, AI Metadata, and Document Text. All fields are selected by default except Document Text. Unlike other filters, these options don't appear as filter tags.
Custom Attributes Attributes your administrator has created for your library Search for an attribute, or select it from the alphabetical list. The attributes and values you see depend on how your library is set up.

Frequently asked questions

Can I select more than one option in a MediaValet filter?

Yes. Most filters let you select multiple options. For example, selecting Landscape and Panoramic in the Orientation filter shows assets that are either landscape or panoramic.

Why don't I see some of these filters in my library?

Some filters depend on how your library is set up. AI-powered filters only appear if AI features are enabled, Rating only appears if your library uses ratings, and Custom Attributes depend on what your administrator has created.

Can I save a search with filters applied?

Yes. You can save a search, including the filters you've applied, so you can run it again later. Orientation selections are saved with your saved searches.

Can I filter by when an asset was uploaded?

Yes. Use the Upload Date filter to choose a preset range, such as the last 7 or 30 days, or pick a custom from and to date.

Does the Rating filter include assets with higher ratings?

No. The Rating filter matches an asset's average rating exactly. For example, an asset with an average rating of 5 stars won't appear when you filter by 4 stars.
